Tayor Richardson Book a Workflow Review
For HVAC, plumbing & electrical companies

Your software probably isn't the problem. It's the little things your team still has to do around it.

Most service companies already run good software. But the office still retypes the same info, keeps a side spreadsheet, texts reminders, and counts on somebody remembering. That's the part I fix.

A 20-minute conversation. No sales pitch, and no obligation to buy anything.

The everyday stuff

Does any of this sound familiar?

None of these are big enough to replace your software over. Together, they eat hours every week.

  • The same info gets entered twiceOr three times: once in the FSM, once in QuickBooks, once in a spreadsheet.
  • Follow-ups get forgottenEstimates, callbacks, and "check back in a month" calls that nobody owns.
  • PM reminders live in someone's headMaintenance agreement customers slip through the cracks until they call you.
  • Dispatch keeps its own spreadsheetBecause the software doesn't show them what they need at a glance.
  • Managers keep asking for the same numbersThe information exists. Someone just has to dig it up every time.
  • Unofficial workarounds everywhereSticky notes, group texts, and "just ask Linda, she knows."
  • It all falls apart when you get busyThe process works fine in April. It breaks in July.
  • If you nodded at one or two of those, that's usually where the easy wins are.
What I do

I find the gaps between your systems and build simple tools to close them.

I work with small and midsize service businesses, usually somewhere between 5 and 50 people. I look at how the work actually moves through your office and find the repetitive admin that doesn't need a person doing it.

Then I build something small and specific to handle it: an automatic reminder, a dashboard that flags what needs attention, or a connection so data only gets entered once.

  • Stop duplicate data entry
  • Flag things automatically instead of tracking them by hand
  • Make sure follow-ups actually happen
  • Pull scattered info into one place people will look

What I don't do

I'm not trying to replace ServiceTitan, Jobber, Housecall Pro, or whatever you already use. Your team knows it, and it does most of what you need.

I work around it, on the one important workflow it doesn't quite cover.

A real example

Here's a simple example.

An HVAC company sells preventative-maintenance agreements. Tracking who's due, who's been scheduled, and who got missed was happening in a spreadsheet and someone's memory. Here's a small tool that handles it.

This isn't necessarily something I'm selling. It's a walkthrough of the kind of problem I look for and how small the fix can be.

This isn't about replacing your current software. It's about fixing the small gaps around it.

How it works

Three steps. The first one is just a conversation.

  1. Show me the workflow

We spend about 20 minutes on something your team does over and over, or something that tends to fall through the cracks.

  2. Find the bottleneck

I map out how it works today and figure out whether there's a simpler way to handle it.

  3. Build a small solution

If there's a worthwhile opportunity, I'll propose a narrowly scoped fix or a paid pilot, with a clear price and scope.

No obligation. If there's nothing worth fixing, or it's not a fit, I'll tell you. You're not signing up for anything by talking to me.

Workflow review

Show me what's slowing you down.

Tell me a little about your company and I'll reach out to set up a 20-minute call.

Not sure what the problem is yet? That's fine. Leave the last box blank and we'll figure it out together.

Rather just call or email?

A sentence or two is plenty. Skip it if you're not sure yet.

I'll only use this to get in touch about your review. No mailing lists.
